2. What personal data we collect
When you contact us or complete a form on this website, we may collect:
- Identity and contact data: your name, phone number and email address.
- Enquiry details: the destination country and region, the type of service, the package you select, and any message or details you choose to share.
- Information about the deceased that you provide so we can arrange the service. (UK data protection law applies to living individuals; we nonetheless treat this information as strictly confidential.)
- Technical data: limited information such as your IP address, recorded in standard server logs to deliver and secure the website.
3. How we use your data, and our lawful basis
We use your personal data for the following purposes:
- To respond to your enquiry and prepare a quote. Lawful basis: your consent (the box you tick on our forms), and/or taking steps at your request before entering into a contract.
- To arrange and deliver repatriation and funeral services. Lawful basis: performance of a contract.
- To meet legal, regulatory and consular requirements. Lawful basis: legal obligation.
- To keep records and protect our business (for example security and fraud prevention). Lawful basis: our legitimate interests.
4. Who we share your data with
To arrange a repatriation we may share only the information necessary with:
- Funeral directors, embalming and transport partners in the UK and the destination country;
- Airlines and logistics providers;
- Government authorities, coroners, registrars and consular or embassy services;
- Our service providers, who act as processors on our instructions: Resend (Plus Five Five, Inc., United States), which delivers the enquiry from our website to our inbox; Netlify (Netlify, Inc., United States), which hosts this website; and Google (Google LLC, United States), which provides the mailbox your enquiry is delivered to.
We do not sell your personal data, and we never share it for third-party marketing.
5. International transfers
Because we repatriate to Romania, the European Union and other countries, we will transfer your data to recipients outside the UK where necessary to provide the service. Where we do, we rely on appropriate safeguards (such as UK adequacy regulations or standard contractual clauses) to keep your data protected.
Separately, when you send us a message through a form on this website, the content of that message is transmitted and stored in the United States by Resend, our email provider, which keeps delivery logs and message content for its own limited retention period. We have a data processing agreement with Resend that includes the UK International Data Transfer Addendum to the standard contractual clauses. 6. How long we keep your data
We keep enquiry data for 24 months after our last contact, and service records for as long as necessary to meet our legal, accounting and regulatory obligations. After that, we securely delete or anonymise it.
7. Your rights
Under UK data protection law you have the right to:
- be informed about how your data is used;
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to our processing;
- data portability;
- withdraw your consent at any time, where we rely on consent.
